I spent years working with Executives, Directors and CEOs and a point they all had in common was how to make themselves or their business more productive. You can spend thousands on ‘experts’, coaches and training courses but unless you actually implement their systems, nothing happens.
I view productivity as how can I work smarter? How can I make the systems I use, work for me? I don’t want to download yet another app or piece of software and have to learn how to use it. I certainly don’t want to be paying for them. So, what’s the solution?
It’s actually pretty easy and you may stop reading this article, but the answer is to use the systems you already have – just apply ‘admin’ logic. After all every top business person has a Personal or Executive Assistant and they are efficient, productive and well, we just get things done!
So, what do you do if you don’t have an ‘admin brain’, in fact you have a ‘creative brain’ or a ‘tech brain’? Well you learn some practical tips that you can implement immediately and they are all about your inbox, your diary and your time management skills. During the 1.5hr Masterclass that I run or the 1-2-1 sessions that I hold we always start with an Inbox Detox. It’s very simple and straightforward and you can either crack on and do it all at once, or spend 15mins a day working through the steps.

Obviously, I’m not going to go through all the tips as I want you to attend my Masterclass! However, think about strong folder structure and only having an inbox with ‘active’ emails. No more bright red emails because you attached a follow-up flag and then didn’t follow-up –by the way it’s very easy to use them properly and make them work for you.
Your diary is OK, isn’t it? After all you attend all your meetings on time. That is until you realise that you should have left 15mins ago as the meeting is across town; that you’re in London all day and haven’t planned anything for when you’re sitting on the train (OK that might be deliberate!). A few amendments to how you enter appointments and suddenly it reflects your actual day but it also allows you to prepare and be more productive.
As to your time management skills, they’re amazing, aren’t they? You leave the office at the office every night and go home on time knowing you’ve done everything you set out to do and that tomorrow is organised and nothing unexpected will ever happen. No? Really, are you sure? Well that is the ideal world and although I can’t guarantee it I can give you some tips that help you understand your perception of time i.e. when you say it will only take 2mins but takes 10. There is also a very easy tip to help you categorise your tasks and this helps you prioritise your work.
